Project Overview

Flo examines the intricate hurdles of hybrid work, focusing on the pivotal role of middle managers who often find themselves caught between the need for personal focus and constant demands of team coordination. The project addresses the growing complexity of communication and decision-making in environments where teams are geographically dispersed.

The objective was to develop a system that fosters both individual and collective “flow” without sacrificing productivity while reducing the cognitive load of information management, and shifting priorities. That’s where Flo appears and helps teams stay synchronized.

Methodology

The project’s foundation combines desk research covering hybrid trends, workplace engagement, and qualitative field studies, including interviews and direct observations.

The research identified a persistent friction between collaboration and focus: fragmented communication and ambiguous task ownership often disrupt individual productivity. At the same time, managers face intense pressure to maintain team alignment and visibility. These findings pointed toward the need of flow built on shared goals and coordinated attention. Consequently, the system was designed to do more than just organize data. It actively supports transitions between solo tasks and group efforts.

Concept Vision

No Frictions Needed.

Flo is conceived as an intelligent, data-driven layer that helps teams reach a state of shared flow. Rather than being a standalone tool, it integrates into existing workflows, surfacing information only when it is truly relevant.

The core philosophy is centered on “frictionless” work. Flo helps users recover their focus after a distraction, clarifies who is responsible for what, and creates a transparent environment for the whole team. Here, AI acts as a subtle companion to human intuition, anticipating needs and simplifying the decision-making process.

Designing an Experience

Operating across different devices in the background, Flo activates only during moments of need. It structures tasks, estimates time requirements, and organizes information to give teams a clear view of their priorities.

Key features include automated task distribution and contextual prompts that help users “re-enter” their work state after being interrupted. The design even considers the physical environment, suggesting adjustments to lighting or sound to encourage deep work. Experience prioritizes continuity ensuring work goes smoothly across different people, tools, and contexts.

Learning Outcomes

This project required the student to navigate “invisible” design challenges, such as managing human attention and collective alignment. A major takeaway was the realization that productivity in a hybrid world isn’t just about better tools, it’s about the ease with which people can move between different work modes.

This led to a fundamental shift in perspective: moving from “organizing tasks” to “shaping conditions”. The student explored how design can support the emotional and psychological well-being of a team, fostering clarity and trust in environments where these elements are no longer a given.
